Providing Excellent Customer Service To Your Tenants

If you are a new rental property manager, and you are hoping to keep full apartment buildings with paying tenants, the customer service you give will be sure to keep rent coming in on a regular basis. Here are a few tips to use to maintain a high customer service rating, making your apartments some of the most sought in the community they are located.  

Screen Tenants

Before allowing someone to rent an apartment in your complex, hold screenings to make sure they are reputable and able to pay their rent in a timely manner. There are several services available that landlords or property managers can use to weed out tenant applications so top candidates are chosen to live in your apartments. 

Having tenants with a favorable reputation will ensure there are fewer problems due to poorly maintained properties, noise pollution, or neighbor disputes. This will help you keep your tenants in your apartments rather than having them look for a new place to live because of unfavorable tenants living nearby.

Give Handy Information

When a new tenant takes up residency in your apartment building, leave a packet of information in their new home explaining the rules of the apartment complex. Give them a list of the popular utility companies, cable companies, and phone services so they will be able to get these things set up when they move in. Include a bunch of takeout menus so they know which food choices are available in the area.

Offer Payment Options

Along with the above information, give tenants a few payment options to help them keep on top of their rent. When a tenant first signs their rental agreement, allow them to select the date they will be paying their rent each month, making it easier for them to budget it around their other bills. Consider having a rental payment service set up online where tenants can easily make a payment without having to mail it or find you to hand it to. This will allow them, as well as yourself, to track their payments, proving they have been paid.

Have Someone Available

Tenants will feel secure if there is someone on the premises at all time. Have a security service available to keep theft risk low. If a tenant has an appliance or structural problem within their apartment, have a phone number they can call for service right away (such as is offered by Two Rivers Investment). It is best to have a person answer their call instead of having them leave a message, as this will meet the level of customer service you wish to provide.
